Engagement & Advancement Assistant

Reporting to the Managers of Engagement & Advancement, this position is responsible for the administrative requirements of the Engagement & Advancement Department programs.

Starting salary: $34,801

TYPICAL DUTIES

  • Maintain and update database for individual donor records, and membership as needed
  • Prepare and distributes packages and posts outgoing mail for members and donors
  • Research and assemble briefs and reports, and nominations
  • Greets and provides information and directs calls to appropriate individuals
  • Attends, and prepares meeting agendas and schedules for Engagement and Advancement departmental meetings
  • Compose routine correspondence, arrange appointments, and anticipate the needs of the Managers prior to meetings and appointments and is aware of areas requiring follow up
  • Schedules, coordinates and records meetings as required
  • Logs purchase orders and prepare invoices
  • Coordinates all signage for Gallery events, liaising with design and other departments
  • Assist with media, donor, and member events
  • Liaise with and supervise department volunteers
  • Handle travel arrangements for the department
  • Assists with social media posting and responses as required
  • Other duties as assigned

QUALIFICATIONS

  • A minimum of three years administrative experience
  • Excellent interpersonal skills
  • Exceptional organizational skills and ability to multitask
  • Attendance at member and donor events, occasional evening/weekend work as required

ASSETS

  • Ability to work in a team environment in cooperation with staff and volunteers
  • Ability to exercise sound judgement and work in a confidential and independent manner
  • Knowledge of Raisers Edge fundraising software
  • Bilingual in French or an Indigenous language
  • Ability to speak and write an Indigenous language
